Dealer meets and launches, planned to land

Corporate dealer meets and product launches in Nashik: registration, demo readiness, attendee travel and a tight agenda, planned for your sales and marketing teams.

Who it's for

For the people who need dealers to act

This page is for sales heads, marketing heads and channel managers who need dealers or distributors in one room to hear a plan, see a product and leave knowing the next step. Teams like yours usually weigh three things: a demo that fails in front of the audience, dealers who arrive late or on the wrong day, and an agenda that runs out of time before the sales close. The plan is built to answer each.

Typical group: about 80 to 600 attendees, one or two days.

Lead time: usually six to ten weeks; longer when dealers travel from several states.

What's included

What's in your dealer meet plan

Each item is a document or an arrangement set out in your proposal, for you to review with us.

  1. Attendee and registration plan. Your delegate list, registration desks, a check-in matrix by region, badges and the flow from arrival to seat, with list changes tracked to a cut-off date agreed with you.
  2. Travel and stay plan for out-of-town dealers. Arrival windows, pickups and a rooming list, with transport confirmed with a transport partner and rooms held with the venue.
  3. Agenda. Plenary, product reveal, breakouts, dealer recognition and meetings in one schedule, with buffers so the sales close is not squeezed.
  4. Product demo plan. The demo area, power, space, who presents and a rehearsal, with a backup unit or recorded demo where arranged with your product team.
  5. Stage and AV plan. Stage, screens, sound and playback, confirmed with the venue and an AV partner.
  6. Language and content plan. Which sessions run in which language, with translated slides or an interpreter where you need them and they can be arranged.
  7. Run-of-show and responsibility matrix. Who does what, where and when, including a named contact from your sales team for dealer queries, with escalation contacts agreed in advance.
  8. Recap. Where agreed, a short written recap: what ran to plan, what changed, feedback gathered and what we would change.

Optional: where you repeat the meet in other cities, the agenda, run-of-show and checklist are written to be reused, with a sheet per city for venue, travel and partners. Delivery in a city depends on partners we can arrange there.

What we plan for

Where dealer meets slip, and what we do

These are planning steps we carry out for every dealer meet. They are not a record of past events.

  1. Where it slips

Dealers arrive late or travel plans change

    What we do

We set arrival windows, confirm pickups with the transport partner and name one contact for travel queries. Critical content is placed after a registration buffer.

  2. Where it slips

    The product demo fails

    What we do

The demo area, power and connectivity are checked at the site visit where one is arranged, and the demo is rehearsed. A backup unit or recorded demo is kept where arranged with your product team.

  3. Where it slips

    The attendee list keeps changing

    What we do

The list is frozen on agreed dates. Changes after that go through one named person, and the check-in matrix and badges are updated in batches.

  4. Where it slips

    Mixed languages leave people behind

    What we do

Languages are decided per session at planning. Translated slides or an interpreter are used where arranged.

  5. Where it slips

The agenda overruns before the sales close

    What we do

Buffers follow the plenary, breakouts have a fixed end, and we agree with you in advance which segments are trimmed so the dealer discussion keeps its time.

  6. Where it slips

    A queue builds at registration

    What we do

Check-in desks are split by region, badges are printed in advance, and the number of desks is sized to the headcount range with the venue.

How we work

Five stages, one plan

The same five stages for every event. Each ends with something you can check.

  1. At brief

    Brief

You tell us the purpose, dealer count, cities of origin, date, product to show, languages and any content that is not yet public, by form or call.

  2. After a complete brief

    Plan

We send one proposal with venue options, an agenda, a registration and travel plan, what drives the cost and who is responsible for each task.

  3. The weeks before

    Prepare

We confirm venue, AV, transport and catering with each partner, test the demo space, freeze the list on agreed dates, identify permissions and insurance requirements, and rehearse the agenda with you.

  4. Event days

    Coordinate

The check-in matrix, run-of-show and responsibility matrix are in use, every task has a named owner, and escalation contacts include your sales lead.

  5. After the event

    Review

Where agreed, we send a short recap: what ran to plan, what changed and what we would change next time.

Proposed process, applied to every event.

Company size

How a dealer meet changes with your size

Headcount ranges are a rough guide. No fixed packages and no price list.

Small companies and startups

About 10 to 100 people

What you're dealing with

One or two people decide, and the meet may be a few dozen partners in one room.

How we tailor itA single hall, a one-day agenda and one clear proposal, planned with you from first call to recap.

Mid-size firms

About 100 to 1,000 people

What you're dealing with

Sales, marketing and finance each sign off, and the dealer list changes until the last week.

How we tailor itA phased proposal, list freeze dates, a check-in matrix and a travel and rooming plan for dealers from other cities.

Large enterprises and MNCs

1,000+ people, or several locations

What you're dealing with

Regional meets, with vendor onboarding and compliance checks before booking.

How we tailor itTell us what your procurement team needs and we will say plainly what we can provide and what is not yet in place. A programme across regions can be planned as one master plan with a sheet per city, where we can arrange partners in each.
